PRIVACY POLICY
YOUR DATA ISN’T TABLE TALK.
This Privacy Policy explains how WHITE HOT POKER collects and uses personal information when you visit whitehotpoker.co.uk, place an order, contact us or join the club.
Last updated: 21 August 2026.
Who is responsible for your information?
Alan Harding, trading as WHITE HOT POKER, is the data controller for the personal information described in this notice.
Email: thefloor@whitehotpoker.co.uk
Address: 26 West Parade, Warminster, Wiltshire, BA12 8LZ, United Kingdom.
Information we collect
Depending on how you use the site, we may collect:
- Identity and contact details: name, email address, telephone number, billing address and delivery address.
- Order details: products, size, colour, price, discounts, delivery method, order history, returns and refunds.
- Payment information: payment status, method and transaction references. Shopify and the payment provider process full card details; WHITE HOT does not receive or store your full card number.
- Account details: account identifiers, preferences and saved information if accounts are used.
- Communications: messages, complaints, photographs supplied for faults and our responses.
- Marketing choices: whether you joined the club, consent records and unsubscribe requests.
- Technical and usage data: IP address, device, browser, cookie identifiers and information about how the site is used.
How we obtain it
We receive information directly from you, automatically through the website and cookies, and from service providers involved in payments, ecommerce, production, delivery, fraud prevention and customer support.
Why we use it and our lawful bases
- To take payment, produce, deliver and support orders: necessary to perform our contract with you.
- To process cancellations, returns, refunds and complaints: performance of our contract, compliance with legal obligations and our legitimate interest in resolving customer issues.
- To keep tax, accounting and transaction records: compliance with legal obligations.
- To prevent fraud, secure the site and protect our rights: our legitimate interests and, where relevant, legal obligations.
- To understand and improve the store: our legitimate interests where necessary and proportionate; consent where required for analytics cookies.
- To send JOIN THE CLUB emails about releases, tournaments, events and offers: your consent, or the limited existing-customer marketing permission allowed by law where applicable. You can opt out at any time.
- To use non-essential cookies or personalised advertising: consent where required.
Who receives your information?
We share only what is reasonably necessary with:
- Shopify, which hosts the store, checkout and customer account functions.
- Payment providers, to authorise and administer payments, refunds and fraud checks.
- Our UK production and fulfilment partner, which receives the name, delivery address and order details needed to make and dispatch products.
- Postal and courier companies, to deliver and track orders.
- Email, IT, analytics and customer-service providers, where used to operate the business.
- Professional advisers, insurers, regulators, courts or law-enforcement bodies, where reasonably necessary or legally required.
- A buyer or successor to the business, if the business or its assets are sold, subject to appropriate confidentiality and data-protection requirements.
We do not sell customer lists.
Shopify
Shopify processes information to provide and secure the ecommerce service and may also act as an independent controller for some features. You can read the Shopify Consumer Privacy Policy and use the Shopify Privacy Portal.
International transfers
Some service providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we rely on an adequacy regulation, the UK International Data Transfer Agreement or Addendum, or another lawful transfer mechanism. International delivery also requires us to send delivery information to organisations in the destination country.
How long we keep information
We keep information only for as long as needed for the purpose collected. Transaction, payment and tax records are normally retained for up to six years after the relevant financial period or transaction. Customer-service and complaint records are kept for as long as reasonably needed to resolve the matter and protect legal rights. Marketing contact details are kept until you unsubscribe or the list is no longer used; we may retain a minimal suppression record so that we honour an opt-out.
Marketing
JOIN THE CLUB is our email list for tournaments, new releases, events and offers. You can leave at any time by using the unsubscribe link in an email or contacting us. Leaving marketing does not stop essential messages about an order, return or account.
Cookies
Essential cookies keep the basket, checkout, security and core website functions working. With your permission, we may also use preference, analytics or marketing cookies. Use the cookie banner or the Cookie Settings control in the footer to review or change your choice. Withdrawing consent does not affect processing that happened before withdrawal.
Security
We use appropriate technical and organisational measures and rely on established ecommerce and payment providers. No online service is completely secure, so please do not send card numbers or unnecessary sensitive information by ordinary email.
Your rights
Depending on the circumstances, UK data-protection law gives you rights to:
- Ask for access to your personal information.
- Correct inaccurate or incomplete information.
- Ask for information to be erased.
- Restrict or object to processing.
- Receive certain information in a portable format.
- Withdraw consent at any time where consent is our lawful basis.
- Complain to the Information Commissioner’s Office.
These rights are not absolute. We may need to verify your identity and may retain information where law permits or requires it. To make a request, email thefloor@whitehotpoker.co.uk.
Children
The store is not directed at children who are too young to enter a purchase contract without a parent or guardian. We do not knowingly use children’s information for targeted marketing.
Complaints
Please contact The Floor first so that we can investigate. You may also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
Changes to this policy
We may update this notice when our practices, providers or legal obligations change. The latest version will be posted here with a revised date.
